YOUR INFORMATION
Privacy in the Studio
Updated 21 October 2026
Alvez and Mango is a brand name of Alvez & Mango Co Ltd, a company registered in Cyprus.
We use your account and contact details to provide your Photographer Studio, manage invitations and access, and help with your quotes and orders. Saved quotes, order specifications and uploads are used to prepare and fulfil your work.
Your photographs and confidential information
Your photographs and artwork remain the property of their respective rights holders. Supplying files allows us to access, prepare, reproduce and handle them as needed to design, print, manufacture, deliver and support your order. You are responsible for having the necessary rights and permissions to supply the files, including appropriate permissions relating to people pictured.
We treat client details, uploaded files, individual quotations, agreed discounts and order information as confidential. We do not sell them or disclose your individual trade prices to your clients or other photographers. Access is limited to authorised staff and service providers who need it to carry out the work, or disclosures required by law. Any public use of finished products or imagery is subject to the showcasing terms below.
Finished products, Instagram and studio samples
We may photograph or film finished products and show examples of our craftsmanship on Instagram, our website and other promotional materials, or display samples in our studio, unless you ask us not to. You can opt out for one order or all your work by emailing hello@alvezandmango.com. Please identify the order or tell us that your preference applies to all orders. Opting out does not affect the service or quality you receive.
This default showcasing preference is not blanket consent to publish photographs or personal information. We can show materials, binding, packaging and other details without revealing private imagery or identifying details. Where a proposed post, sample or additional display copy includes your photographs or identifiable people, we must first establish the necessary image rights and lawful basis. Where consent is required, we obtain it before that use. A photographer cannot give permission on behalf of someone else without the authority to do so.
When we are authorised to show your photographs, we credit the photographer using the name or Instagram handle you provide, unless you request otherwise. Credit does not replace the required permissions. Supplying an order or receiving a free or discounted studio sample does not transfer copyright or override the rights of the people pictured.
You may change your preference at any time. Following an opt-out, we will stop new promotional use, remove relevant posts from channels we control and withdraw affected studio samples from display. We cannot recall material already distributed or guarantee removal of copies independently shared by others. Where use relies on consent, withdrawing it does not affect the lawfulness of earlier use.
Intimate and sensitive photographs
We treat boudoir, nude, intimate and other sensitive photographs with strict confidentiality. We do not publish these images or use them in studio samples, displays, social media or marketing materials. This exclusion applies regardless of the general showcasing preference.
Files and prints are handled only by trained staff who need access to carry out the work. Our workshop and production facility are secured by card-controlled access, restricted to personnel carrying out the relevant production work. We do not disclose the images, the identity of the people pictured, or details of the commission to anyone outside those authorised to fulfil the order, except where required by law.
Photographs of children and private events are handled with particular care, respecting any confidentiality instructions and applicable permissions.
Account and Studio activity
Our authorised Studio administrators can view your account status, successful sign-ins, pages you open inside the Photographer Studio, product tabs and quote steps you open, selected sizes, quantities, materials and finishing options (including unsaved selections), when a quote starts, saved draft versions, submitted orders and completed uploads. This helps us support your account and follow the progress of your work. The Studio administrators’ monitoring view is read-only and does not sign in as you.
Successful password and email-activation sign-ins are recorded separately from other activity. Automatic session refreshes are not recorded as new logins. Activity records contain the event, time, related record identifier and snapshots of quote options. Browsing snapshots omit your project name, notes and personalisation wording; they do not contain passwords, authentication tokens, keystrokes or the contents of uploaded files. Invitation and verification links are not included in activity logs. We do not track your activity outside this application.
Detailed Studio tracking begins when this feature is introduced. We do not reconstruct earlier page views or events that were never recorded. Times in the Studio administration view are shown in Cyprus time (Asia/Nicosia).
Access and storage
Your Studio uses essential sign-in cookies. Account and work records are stored in our private application database, with uploads stored privately for order handling. Other photographers cannot access your drafts, orders or activity history. Our authorised Studio administrators can access the information needed to manage accounts and work.
Production files and retention
Production files are stored privately in our online order systems and on our production hard drives or network storage. We keep the files needed to complete your work through production and delivery, and while resolving reported defects, corrections or other outstanding order issues. They are not made publicly available simply because you upload them.
Retention depends on the purpose of each record. Production files are reviewed for deletion when delivery and any outstanding issues are resolved and they are no longer needed. Account details and saved quotes are kept while needed to provide your account and requested services. Activity records are kept only while needed for account support and security. Invoices and records needed for tax, legal obligations or claims may need to be retained separately for longer. Backup copies may remain until they are removed through the backup retention process and are not intended for routine reuse.
We do not provide a permanent photographic archive. Please retain your own originals and backups. You can ask us to delete files or confirm the retention arrangements for a particular order. Keeping a sample or selected material for marketing is a separate purpose, subject to the permissions and opt-out arrangements above.
Why we use information and who helps us
We use information to respond to quote requests and fulfil orders, meet legal obligations, and pursue our legitimate interests in running, securing and supporting the Studio where those interests do not override your rights. When consent is required for a particular use, we ask for it separately. Accepting this notice or leaving an opt-out unused is not, by itself, consent.
Hosting, database, file-storage, communication and delivery providers may handle the information needed to provide their services. Our Studio uses Vercel for hosting and Supabase for application data and private uploads. Where personal information is transferred outside the European Economic Area, applicable data-protection transfer requirements must be met. Contact us for information about the providers and arrangements relevant to your work.
Your rights and choices
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your personal information, object to processing based on legitimate interests, or withdraw consent. We may need to verify your identity before responding. You may also lodge a complaint with the Cyprus Commissioner for Personal Data Protection.
For questions about your information, marketing preferences, access, corrections or deletion, contact hello@alvezandmango.com.
